Sales history in the back office
Sales history in the back office lists every sale, refund, and void across your outlets. Use it when you are at a desk and need to answer a question about a sale, or send a customer another copy of their receipt.
You’ll find it under Orders > Sales history. Admins always see it. Managers see it only if your store has turned on “Show sales history to managers” in its general settings. Other roles see it only if their role includes the sales history permission. See Users and roles.
Browse sales
Section titled “Browse sales”The page opens on the Last 7 days, across all outlets and all statuses. Each row shows:
- Receipt: the receipt number and when the sale finished.
- Customer: their name and email, or a dash if there was none.
- Sold by: the person who rang it up and the outlet.
- Total: the sale total, with the payment method under it. A sale paid on more than one method reads Multiple.
- Status: Completed, Partial refund, Refunded, Voided, or Open.
Use the paging controls under the table to move on. Sales per page offers 25, 50, or 100.
Narrow the list with the filters above it:
- Date range: pick a preset such as Today, Yesterday, Last 7 days, This month, Last quarter, or Last year, or pick start and end dates yourself.
- Status: All statuses, Completed, Partial refund, Refunded, or Voided.
- Outlet: All outlets, or one outlet. Outlets you’ve deleted still appear, marked “(deleted)”, so you can find their old sales.
Clear filters puts them back. If the list is too long to load for the dates you chose, OLET shows its own message asking you to narrow them.
Find one sale
Section titled “Find one sale”Above the filters, the Search by switch has two modes. OLET remembers the mode you used last in this browser.
- Receipt. Type or scan into Scan or type a receipt number and press Enter. Digits only are matched as a receipt number. Anything else is matched exactly as a receipt label. Letters are turned into capitals as you type.
- Customer. Type at least two characters of a name, phone number, email, or customer code. After a short pause, or when you press Enter, matching customers are listed. Pick one to see all of their sales. If nothing matches, it says “No customers match”.
While a search is active, the date, status, and outlet filters are grayed out and the page says “Searching all dates, outlets and statuses.” Clear the search to go back to browsing.
Open a sale
Section titled “Open a sale”Expand a row to see Sale details: each item with its Qty, Unit price, Tax, and Total, then the Subtotal, any discounts with where they came from, the Tax, and the Sale total. A note on the sale shows under the table.
If the sale has payments, a Payments table lists the Tender, the Card (brand and last four digits), and the Amount for each.
Follow a refund
Section titled “Follow a refund”- On a refund, a Refund of link names the original sale.
- On a sale that has been refunded, Refunds lists each refund as a link.
Select a link to show just that sale. A blue tag reads “Showing” with the receipt number, and the page says “Showing one sale. Dismiss to go back.” Dismiss the tag to return to your list.
Print or email a receipt
Section titled “Print or email a receipt”Select the printer icon on a row, or Print in the expanded sale. A Print receipt window shows the receipt. Select Print to send it to your browser’s print dialog.
Select Email in the expanded sale to open Email receipt:
- Type a name, phone, or email into Find customer, then pick the customer. Or skip this and type an address straight into Send to.
- If the customer has no email on file, tick “Save this address to” their name to keep it on their record. An address typed without picking a customer is used for this receipt only.
- Select Send receipt.
OLET says “Receipt emailed to” the address. If the address has been rejecting mail, or has opted out of email from your store, it says Not sent and nothing is queued. If email isn’t set up for the store, it says “Email is not set up for this store yet.”
SMS is on the sale but isn’t available yet. It shows “SMS receipt will be wired up in a future update.”
If it goes wrong
Section titled “If it goes wrong”- No sales yet. Nothing has been sold for these filters. Widen the dates.
- No sales match these filters. Select Clear filters.
- Sales history could not be loaded. Select Retry.
- Transaction details could not be loaded. Collapse the row and expand it again.
- Cannot print this receipt. The receipt could not be built. Try again, or use the register’s reprint.
