Cash and payments taken outside OLET
Cash is money that goes into your drawer, so OLET works out the change and counts it at close. A payment taken outside OLET is money that has already moved somewhere else, so OLET only records that it happened.
Both are ordinary payment methods, set up in the back office under Settings > Payment settings.
Take cash
Section titled “Take cash”- On Collect payment, select the cash method.
- Type what the customer handed over into Amount tendered ($), then select Collect.
Or skip the typing: the Quick amounts are the note values that cover the sale, and tapping one fills the amount and collects it in a single tap. The amounts grow with the sale, so a large sale offers large notes.
If you enter less than the amount due, OLET says Insufficient with the figure it needs, and Collect stays unavailable. To take part of a sale in cash and the rest another way, split the payment first rather than trying to enter a smaller amount here.
Nothing is owed back until the payment actually lands, so the change is not shown while you are still typing. Once the tender posts, the confirmation panel shows Change due, and that is the figure to open the drawer against.
Cash does not round. The amount owed is the amount owed, to the cent.
Record a payment taken outside OLET
Section titled “Record a payment taken outside OLET”Use this for a check, a bank transfer, or a card taken on a standalone terminal that OLET is not connected to. The money has already moved, so there is nothing to process and nothing to reverse: recording it is the whole transaction.
- Set the method up once in the back office. Add a payment method, name it what your staff call it, and choose the provider for money taken by hand. Name it for the thing itself, so “Check” and “Bank transfer” are two methods rather than one vague one.
- At the register, select that method on Collect payment.
- The dialog shows the amount due, which is what will be recorded. Type a reference into Reference (optional) if you have one, such as an auth code off the terminal or a check number, then select Collect.
There is no amount field and no change, on purpose. What was taken outside is what gets credited, and a change figure would describe a drawer that never opened. To put only part of the sale on this method, split the payment first and then choose it.
The reference is what lets you match the line in OLET to wherever the money actually is, so it is worth typing.
What happens at close
Section titled “What happens at close”Cash is the only one of these that touches your drawer. It is counted against the register’s cash total when you close, along with anything you recorded on the cash management screen. Payments taken outside OLET are not counted, because none of that money is in the drawer.
If it goes wrong
Section titled “If it goes wrong”- Insufficient. The amount entered is less than the amount due. Enter the full amount, or split the payment and take the rest another way.
- No payment types configured. No method is switched on for your store. An owner or manager turns one on in the back office under Settings > Payment settings, with the Active switch.
- The cash button is missing. Either the cash method is switched off, or it is unchecked for this outlet. Both are back office settings.
