Change what a role is allowed to do, and put it back to how OLET ships it

The three roles cover most shops as they ship, but not every shop. **Settings > Permissions** is where you move a single ability between them, so your cashiers can do the one extra thing you trust them with without making them managers.

Only an admin can change anything here. Everyone else sees the page as it stands and cannot move a toggle.

## How to read the page

Abilities are grouped into sections you can open and close: **Sales**, **Register**, **Analytics and activity**, **Catalog**, **Inventory**, **Customers**, **Integrations**, **Settings and platform**, and **Import and export**. Each section is a table with one row per ability and one column per role.

A toggle that is on means that role can do it. Hover an ability's name for a longer description of what it covers.

If you know roughly what you are after, type it into **Filter permissions** at the top. Filtering opens every section, so you see the matches wherever they sit.

## Change what a role can do

1. Go to **Settings > Permissions**.
2. Find the ability, using the sections or the filter.
3. Move the toggle in that role's column.

**There is no save button. The change is live as soon as you move the toggle**, and it applies to everyone who holds that role, on the register and in the back office alike. Nobody has to sign out and back in.

If a change is refused, the toggle springs back to where it was and a message says why. Nothing half saved.

## Why a toggle is grayed out

Some cells cannot be moved, and hovering one tells you which case it is.

- **Only retailer admins can change permissions.** You are signed in as a manager. The page is readable, not editable.
- **Admins always have every permission.** The admin column is fixed on. It cannot be turned down for any ability, on any shop.
- **Not available for this role.** OLET does not offer this ability to that role at all. This is the ceiling, and it is not something a shop can lift.
- **The register needs this to look up products during a sale.** Cashiers keep the two catalog reading abilities, **View products** and **View categories**, because the register uses them to find a product mid-sale. Turning either off would break selling somewhere the label never mentions.

## Customers: view comes first

The **Customers** section has two abilities, **View customers and customer groups** and **Add, edit and delete customers**. Adding and editing needs viewing, so the two move together. Turning off the view ability for a role turns off the manage ability too. Turning on the manage ability turns on the view ability. With view off, the manage toggle is grayed out and says "Turn on View customers and customer groups first." Cashiers can add and edit customers as standard.

## Reports on the register

**View reports**, in **Analytics and activity**, can be switched on for the cashier role. It gives a cashier the Reports screen on the register. It is off for cashiers as standard.

## Put an ability back

Once a toggle sits somewhere other than where OLET ships it, a reset arrow appears beside it. Select it and that role goes back to inheriting the standard behavior for that ability.

The arrow is the only thing on the page that tells you what you have changed, so it is worth scanning for. No arrow anywhere means nothing on your account has been customized.

The arrow appears on a grayed cell too, if that cell was changed before it became fixed. That is deliberate: it is the one way back.

## What to be careful with

**Reprint gift cards (reveals the code)** is separate from managing gift cards for a reason. Reprinting shows the live code of a card that still holds a balance, and anyone holding that code can spend it. It is off for managers and cashiers as standard.

**Process refunds** and **Override price or line discount** are the two most commonly loosened. Both let a person hand money or value back at the till, and neither leaves anything for you to approve afterwards, so grant them to a role only if you would be happy with anyone in that role doing it unsupervised.

**Manage users** and **Manage settings** are the keys to the shop. Moving either down to managers gives every manager the ability to add staff or change how the business is configured.

## If a section says Unassigned

An **Unassigned** section at the bottom means an ability arrived that has not been filed into a group yet. It still works and the toggles still apply. Nothing is hidden from you, it is just not sorted, and it will move into a section in a later update.

## If it goes wrong

- **The whole page is grayed out.** You are not an admin. Ask whoever holds the primary account.
- **A toggle springs back.** The change was refused and the message says why. Nothing changed.
- **You cannot find an ability.** Use **Filter permissions**. It matches the name as shown on the row.
- **Nothing matches your filter.** Clear the box.
