How staff sign in on a paired register, with a PIN for cashiers or an emailed code for managers and admins, and how to hand the till over

Once a register is paired it always opens on the same sign-in screen, with your store name at the top. Everyone signs in the same way to start: you say who you are, and the register then asks for the right thing. A cashier is asked for a PIN. A manager or admin is asked for a code sent to their email.

## Step 1: say who you are

Type your **Email or username** and select **Continue**. The field already has focus when the app opens, so a cold register can be typed into without a tap. Cashiers type their username. Managers and admins type their email address, or their username if an admin has set one for them.

What happens next depends on who you are:

- **Cashier.** The register shows **Signing in as** and your name, with a PIN keypad.
- **Manager or admin.** The register emails you a code.

Signing in needs a connection. There is no offline sign-in.

## Sign in as a cashier

1. Enter your PIN on the keypad, then select **Sign in**. The keypad on a keyboard works too, and Enter submits.
2. Not you? Select **Not you?** to go back and type a different username.

If the PIN is wrong the keypad says so, and you can try again. If you type the PIN of a manager or admin, the register doesn't sign you in. It sends you back to the first step and asks you to use your email address.

## Set your username and PIN the first time

A cashier picks their own username and 6 digit PIN, at the register, the first time they use it. Your admin never sees the PIN.

1. On the first step of the sign-in screen, select **Create/reset password**. It is only there on that step.
2. Enter the email address on your staff record. If your store has text messages turned on, you can enter your mobile number instead. OLET sends a 6 digit code, which expires in 15 minutes and only works on this register.
3. Enter the code, then choose your username and PIN. Select **Set PIN and sign in**.

The same flow covers a forgotten PIN and a forgotten username, so it is the one thing to remember. If your email address is wrong, an admin has to fix it in the back office before the code can reach you. Select **Back to sign in** to leave the flow.

## Sign in as a manager or admin

After **Continue**, the register says "We sent a code to" and a partly hidden version of your email address.

1. Enter the 6 digit **Code**.
2. Select **Sign in**.

The register then runs with your permissions rather than a cashier's. That is how you cover a refund or a price override on a till whose cashiers are not allowed to do either.

- **Send a new code** turns on after 30 seconds, in case the first one didn't arrive.
- **Use a different account** takes you back to the first step.

If the register says "You don't have access to this register. Contact your store admin.", the account isn't allowed here. A manager can sign in only at registers in outlets they're assigned to, and an invite that was never accepted can't sign in at all. An admin can fix both under **Register access** in [**Settings > User management**](/resources/help/setup/users-and-roles/).

If you see **Manager sign-in unavailable**, the register could not reach the sign-in service. Cashiers can still sign in as normal. Restart the app to try again.

## Hand the till over

Open the menu and select **Switch user**. The app confirms, then returns to the sign-in screen for the next person. The register stays paired and set up, so this is the safe way to change hands between shifts. A manager or admin who signed in with a code sees **Sign out** in the same place, and it does the same thing.

Never hand over by unpairing the register. Store logout lives in the register's settings behind a manager session on purpose.

## If it goes wrong

- **No network connection.** Sign-in is online only. The screen says "Sign-in is online-only", and nobody can sign in until the register is back on the network.
- **Session expired.** The screen says "Session expired" and asks you to sign in again. Nothing is lost.
- **The code is refused.** The messages are "That code didn't work. Check it and try again.", "That code has expired. Send a new one.", and "Too many attempts. Try again later."
- **The register says it is not ready.** The message names the reason: **Register removed**, **Waiting to be paired**, **In use on another device**, or **Register not ready**. Select **Retry** first, in case the store is only briefly unreachable. Anything that needs the store fixing has to be sorted in the back office under [**Settings > Devices**](/resources/help/setup/devices/). If the register can't recover, **Set up this register** (or **Set up this register again**) unlinks it so you can pair it with a new code. You will need a new pairing code from an admin.
