# Customer groups

Sort customers into groups so a price book or a promotion can charge trade, staff, or VIP shoppers a different price

A customer group is a label on a set of customers that pricing can point at. Put your trade accounts in one group and a price book can charge that group its own prices.

This feature depends on your plan. Check Settings > Billing to see what your plan includes.

Go to **Customers > Customer groups**. Each row shows the group's name and how many customers are in it.

## Create a group

1. Select **Add customer group**.
2. Type a **Group name**.
3. Select **Add group**.

That is the whole record. A group is a name and the customers in it. The prices live elsewhere, in a price book.

Adding, renaming and deleting groups need the "Add, edit and delete customers" permission. Without it the buttons are switched off and "You don't have permission to add, edit or delete customers." sits beside them, though you can still read the list.

Rename a group with the pencil on its row. Renaming changes nothing about who is in it, and anything pointed at the group follows the rename.

## Put a customer in a group

Groups are set on the customer, not on the group. Open a customer from [**Customers > Customers**](/resources/help/customers/customers-overview/), go to the **Details** tab, and pick their **Customer group**.

Your staff can do the same thing mid-sale from the register. Attaching the customer before the cart is built is what makes their group price the sale. See [Add a customer to a sale](/resources/help/selling/add-a-customer-to-a-sale/).

A CSV import can set the group for a whole list at once, matched by group name. See [Add and edit a customer](/resources/help/customers/add-and-edit-a-customer/).

## The system group

One group is tagged **System**. It is where every customer lands who has not been put anywhere else, so it is your default rather than a group you built.

You cannot rename it and you cannot delete it. Everything else about it behaves like any other group, including being usable as the scope of a price book.

## What a group is for

**Group pricing.** A price book can be scoped to chosen customer groups, which is how trade pricing, staff pricing, and a VIP rate are built. A customer in a booked group is charged the book's prices as soon as they are on the sale. See [Price books](/resources/help/catalog/price-books/).

**Promotions.** A promotion can be scoped to customer groups the same way, so an offer can run for one group and not for the rest. See [Promotions](/resources/help/catalog/promotions/).

**Finding people.** The **Customer group** filter on the customer list narrows it to one group.

## Delete a group

Select the bin on the group's row and confirm with **Delete group**.

**Nobody is deleted, but everyone in the group moves.** Its members are reassigned to your system group, and the confirmation tells you how many customers that is before you commit. It cannot be undone, so a group with hundreds of members is worth a second look at the number in that message.

Any price book or promotion scoped to the group stops matching those customers, because they are no longer in it. Check what pointed at the group before you remove it.

## If it goes wrong

- **The count on a row looks wrong.** It is counted live across your whole customer list, not from the rows on screen. Reload the page if you have just moved people.
- **A group will not delete.** Your store has to have a system group for the members to move into. If it does not, OLET refuses rather than leaving customers with no group.
- **The price did not change for a customer in the group.** The group is only half of it. A price book has to be scoped to that group, be **Active**, and be inside its dates. See [Price books](/resources/help/catalog/price-books/).
