# Payment and tax reports

These two reports answer different questions. The **Payment report** shows how customers paid. The **Tax report** shows the tax you collected and the sales that weren't taxed. Find both under **Analytics**. Filters, date presets and **Apply** work as described in [Reports overview](/resources/help/analytics/reports-overview/).

## Payment report

Open **Analytics**, then **Payment report**.

### Filters

- **Date range**: opens on yesterday.
- **Group by**: **Payment type** (the default), **Day**, **Week**, **Month** or **Outlet**.
- **Outlets** and **Compare to**.

### What you see

Grouped by **Payment type**, each row is one way of paying, such as cash or card. Grouped by **Day**, **Week**, **Month** or **Outlet**, each row is a period or an outlet, with one extra column for every payment type used in the range. A payment type that took nothing in a row shows a muted $0.00.

The table opens sorted by **Net amount**, highest first, when you group by payment type or outlet. Periods open in date order.

| Column | What it means |
| --- | --- |
| **Net amount** | Payments taken minus refunds paid out on that row. Under it, the share of the whole (for payment type and outlet only). With a comparison on, the change shows there instead. |
| **Transaction count** | Payments plus refunds on that row. |
| **Adjustments** | Card surcharges minus cash discounts. If a row has both, select the figure to see each one. |
| **Rounding** | Cash rounding added or taken off. |
| **Refund transactions** | How many of the transactions were refunds. |
| **Avg payment** | Net amount divided by the transaction count. |

**Adjustments**, **Rounding**, **Refund transactions** and **Avg payment** show only when at least one row has a figure other than zero. A different range can show or hide them.

The share under **Net amount** shows a dash when the total for the range is zero or negative, because a share of a negative total misleads. A row whose payments net to exactly zero is grayed out.

Select the chevron on a row to see **Payments** and **Refunds**, each with its own amount and number of transactions. Refunds show as a negative amount. The **Transaction count** in the row is the sum of the two.

Surcharges, cash discounts and rounding are never part of sales. They sit beside the net amount. That is why payment totals can differ from net sales on the [Sales report](/resources/help/analytics/sales-report/): the Payment report counts money by when it moved, and it includes tax.

### Cards

- **Net amount**: payments minus refunds for the range.
- **Transaction count**
- **Refund rate**: refund transactions as a share of all transactions. It shows a dash when there are none.

### Export CSV

The file is named payments, then the grouping, then the dates. It has the table's columns plus a few more: **Payments**, **Payment transactions**, **Refunds** and **Refund transactions** are always included, with **Payment mix %** for payment type and outlet groupings. The optional columns come along when they show on screen. A **Total** row ends the file.

## Tax report

Open **Analytics**, then **Tax report**.

### Filters

- **Date range**: opens on yesterday.
- **Group by**: **Tax** (the default) or **Outlet**.
- **Outlets**.

There's no **Compare to** on this report.

### What you see

Each row can be expanded. Grouped by **Tax**, each tax row (with its name and rate) opens into one line per outlet. Grouped by **Outlet**, each outlet opens into one line per tax. Items with no tax appear on a "No tax" line.

| Column | What it means |
| --- | --- |
| **Tax removed** | Sales where someone took the tax off at the register. The value is the sale amount before tax. |
| **Below exemption** | Sales of items priced under the tax's exemption threshold, so no tax was charged. The value is the sale amount before tax. |
| **Taxable sales (ex tax)** | Sales that were taxed, before tax, with refunds taken off. Items with no tax rate are counted here too. |
| **Tax collected** | Tax charged on sales, with the tax on refunds taken off. |

Every figure is net of refunds made in the range. The row at the bottom adds everything up.

To check a tax filing, use **Taxable sales (ex tax)** and **Tax collected**. Use **Tax removed** and **Below exemption** to explain sales that carried no tax.

### Export CSV

One line for each outlet and tax pair, sorted by outlet and then tax, with a **Total** line. Each line splits sales, refunds and net for every measure: **Tax removed sales**, **Tax removed refunds**, **Tax removed net**, the same three for **Below exemption**, **Taxable sales (ex tax)**, **Taxable refunds (ex tax)**, **Taxable net (ex tax)**, **Tax on sales**, **Tax on refunds** and **Net tax**. The rate is a plain number, for example 8.25. The file is named tax-report with the dates, and it's the same whichever grouping you used.

## If the numbers look wrong

- **A tender is missing.** Check the dates and outlets. A payment type with no payments or refunds in the range has nothing to show.
- **Net amount is lower than expected.** Refunds are taken off the day you pay them out.
- **Rounding or Adjustments aren't showing.** They hide when every row is zero.
